The Follow-up Tracker will be used to track athletes that have follow-up/referrals recommended during screenings at an event. Data displayed in the Follow-up Tracker table will be populated in real time and it will be tied to an event the user is logged in at a given time.
To access the Followup Tracker, click on the 'Followup Tracker' tile from the landing page after login.
The Followup Tracker is displayed after selecting Followup Tracker from the landing page.
The trackert is made up of the key data points that the Program Manager needs to inform their follow-up process. That is: -
Name - Athletes full name( First and Last Name). The name is a clickable link that can direct the user to the athlete's landing page/dashboard.
Delegation - This contains the athlete's registered delegation.
Urgent - This contains a Yes/No which is based on whether an Athlete has an Urgent follow-up or no urgent follow-up.
Yes - If an athlete has atleast 1 urgent follow-up.
No - If an athlete has only non-urgent follow-ups.
Referral Type - This contains the types of follow-up/referral types that were entered for the athlete during screenings.
Phone number - This contains the Athlete's phone number which is important for follow-up via SMS Automation for follow-up tracking.
Contact Attempts - This contains the Survey forms that can be filled during a follow-up.
SMS Status - This contains status of the SMS sent to the athlete via SMS Automation for follow-up tracking.
Sent: When the message is sent
Delivered: When the message is delivered
Failed: When the message completely fails to be delivered to an athlete from Textit.
Blank: Before Follow-up Message is scheduled.
Scheduled: When a follow-up is queued up in openMRS
Completed: When all referral messages in the flows are completed with athlete responses.
Failed - No Response: Displayed when no response to an SMS is received from an athlete in 24 hours after a max of 3 times.
Actions - Enables users to select athletes and get access to the two actions available on the Follow-up tracker.
Selecting desired athlete records enables the Archive and Schedule follow-up message action buttons.
Triggers sending follow-up messages to the selected athlete's phone number.
On clicking the Schedule follow-up message, a pop-up calendar is displayed to select date when first greeting message can be sent to the selected athletes. By default the current date is selected.
Once the date is selected, clicking Schedule will trigger the messages to be scheduled. Clicking Cancel, closes the Schedule Follow-up message pop-up and does not schedule follow-up messages for selected athletes.
Removes selected athlete records that have at-least one survey form completed from the follow-up tracker.
Follow-up messages are added in Textit (an application used to build interactive messaging systems).Textit provides a comprehensive Application Program Interface (API) that has enabled seemless integration with OpenMRS to automate scheduling of messages, sending of messages, getting responses from messages athletes respond to and getting the different SMS Statuses as messages are sent out.
Below are the message flows set-up in Texit.
Twilio to be added as the SMS Gateway in Textit. Twilio currently only guarantees two way SMS communication on their toll-free number to US and Canada. Other countries are not guaranteed.

For QA, VC used an Android phone as the channel in Textit
The Tracker has three Surveys that the Program Manager can complete while attempting to follow-up a given athlete. Once he/she is satisfied with the follow-up, the follow-up can be completed by clicking on the Complete button which removes the athlete from the tracker.
