In the case where there are multiple records which refer to the same athlete, the records may be merged. There are two ways to access the merging functionality:
In certain instances, the system will recommend that two patient records are merged. This occurs when accessing the athlete landing page of an unidentified record when the system suggests merging this record into an existing athlete's record.
After selecting "Merge into another Patient Record", search for the patient to merge either by name or by ID, and select "Continue".
On the next page, review the recommended data movement and make changes if needed; select "Yes, Continue" to finalize the merge and return to the initial athlete record.
Navigate to System Administration > Advanced Administration > Find Patients to Merge. Select identifiers on which to search, and identify the potential duplicate patients. Select the toggle to the left of the names and select "Continue".
Review the demographic information and potential encounter information. Merging records can not be undone; be extremely sure that these records are duplicative before proceeding. Select "Merge Patients" after reviewing the data.
Confirm in the popup box that you'd like to proceed; close the dialog box after the action is complete.
Soft deleting records eliminates the record from the user interface, but maintains the record in the database. This functionality is recommended for use only in rare or unusual circumstances.
To access the functionality, navigate to System Administration > Advanced Administration > Manage Patients. Search for the record and select it from the resulting table.
Review the demographic information to ensure this is the correct person, provide a reason (created for a demonstration, for example) and select "Delete Patient".
Note: selecting "Delete Patient Forever" does just that - removes the record from the database. We do not recommend using that functionality in any circumstance; rather soft-delete the patient as explained above to eliminate the potential for erroneous data loss.
